Document matching searches every selected row in every selected document. When a run finds fewer matches than you expected, the result colours and the run summary tell you why.
| Cell colour | Meaning |
|---|---|
| Green | Match found. |
| Amber | Uncertain, or the row could not be fully checked. Review it. |
| Red | No match found. |
You added documents and got fewer matches
More documents means more places where a value can appear. When a value is found in several places, Blast Audit does not pick one for you.
- Several pages match this row. The row is ambiguous, so no snip is created automatically. Blast Audit asks you to choose the right page in the review step. If you clicked Decide later, the row stays unresolved.
- Two documents look identical. Pick the original. You imported the same invoice twice, for example once alone and once inside a merged PDF. Pick the original, or remove the duplicate from the workbook and run again.
- The search stopped before every page was read. Each row has a search budget. With many documents, it can run out before every page is read, and the row is marked incomplete. Run the match again on fewer documents.
To avoid this, select only the documents that belong to the sample: for example the invoices of the period, not every document in the workbook.
Some documents were not searched
- Documents still in OCR, never processed, or whose OCR failed cannot be selected. Check the OCR Status column on the Documents page and wait for Complete or click Re-run OCR.
- A message "Some documents were skipped" names the documents left out, and the rows that could not be checked against them turn amber.
- One run reads at most 512 documents, 2,048 pages and 32 MB of OCR text. Above that, Blast Audit asks you to select fewer documents.
The value in Excel does not look like the value in the document
Blast Audit reads each cell as Excel displays it, plus the underlying value for dates and amounts. Open Options on the column in the first step (Select the rows to vouch) to adjust how values are compared.
| Option | Use it when |
|---|---|
| Kind of value (Text, Amount, Date) | The detected kind is wrong. |
| Decimal format in Excel / in documents | Documents write 1.234,56 and Excel 1,234.56, or the reverse. |
| Date order in Excel / in documents | Documents write day/month/year and Excel month/day/year, or the reverse. |
| Absolute tolerance | Amounts differ by rounding. The default is 0, which requires the exact amount. Enter for example 0.01. |
| Tolerate spelling differences | On by default. Accepts abbreviations, legal forms and OCR typos. |
| Accept part of the value | The document shows only part of the cell, for example "Jenny" for "Jenny Lam". |
The rules are too strict
- Required on a field means a row matches only if that field is found. Turn it off for fields that are not always printed, such as a reference.
- On the same page means the field must be on the page where the other fields were found. Turn it off when the date is on page 1 and the total on page 2.
Running again
Running the match again writes over the result columns. Blast Audit tells you how many values those columns already hold before it replaces them.
The snips created by the previous run are not deleted: they stay next to the new ones (see Create and edit snips). To avoid doubled snips, run the match into empty columns, or clear the result cells first: clearing a cell removes its snips.
If it still fails
Contact support with:
- The run summary, as a screenshot (for example "12 of 40 rows matched").
- The number of documents and pages selected.
- For one row that should have matched: the value in Excel and the page of the document where it appears.
Do not send the workbook or the client documents unless support asks for them to reproduce the problem.
