No account for the client
Each person gets an emailed link that works for 24 hours. When it expires, the page sends a new one to the same address.
One status per request
Draft, To provide, To review, Accepted, Returned to client or Not applicable. You see what is missing without keeping a tracker.
Reminders on the due dates
Reminders go out 3 days before the due date, on the day, then every 3 days after it, 3 times at most. On each list, a person gets one scheduled reminder a day covering all their waiting requests.
Every file scanned
Files up to 100 MB, from a computer or a phone camera. Each file goes through an antivirus scan before you can accept the request.
AI checks that never decide
Each file is compared with the document type you expect. Answers found in the file cite their page, the others are marked for review. A yes or a no always waits for you.
Files go where you work
Copy accepted files into an engagement without uploading them again, or import them into the Excel add-in, where OCR, snips and matching work on them.
From the request list to the workpaper
Build the list in Excel
Fill in the Excel template and import it. A preview shows what will be added or changed before anything is applied. An import never deletes a request.
- Export the list to Excel, edit it and import it again.
- The template takes the expected document type and up to 10 questions per request.
What the client sees
A page with their own requests only. They upload files, answer “nothing to send” with a reason, write messages and pass a request on to a colleague.
- The page and the emails come in English, French, German, Spanish, Italian or Polish, chosen per person.
- Request and reminder emails carry the firm name, the number of requests, the first due date when one is set, and the link. Request titles and file names stay on the page.
Accept or return
Accept a request, or return it with a reason the client reads on their page. Remind someone by hand, or turn reminders off for a list.
Next year’s list
Duplicate a list and its requests come back as drafts. Due dates move one year later, and requests without one stay undated. Files, messages and AI answers are not copied, and nothing is sent until you send it.
Retention
A list is kept while it is open. Closing it cuts every client link, and the list and its files are deleted at the latest 30 days later.
- A list with no activity for 6 months gets a warning. It closes only if it stays inactive for the next 30 days, and any activity clears the warning.
- Files copied into an engagement follow that engagement’s retention.
From request to accepted file
Build the list
Add requests by hand or import the Excel template. Give each request a due date and a person at the client.
Send the requests
Each person gets an email with their link. They upload files against each request, from a computer or a phone.
Review and accept
Check the files and the AI answers, then accept or return each request. Accepted files go into an engagement or into Excel.
Questions about PBC requests
- Does the client need an account?
- No. Each person gets an emailed link that works for 24 hours. When it expires, they ask for a new one and it goes to the same address.
- Do the AI checks accept or reject files?
- No. They point you to what needs a look. A yes or no answer always waits for the auditor, and the client never sees the checks.
- How is it priced?
- PBC lists come with the Blast Audit seat. OCR of scanned files counts against the organization’s monthly page pool, and the questions use AI credits. The document type check is free.
