Document matching vouches a sample in Excel against your documents. For each row, Blast Audit searches the selected documents for the values in your columns, writes what it found in result columns, and links each result to its page.
Open it with Match in the Automation group of the Blast Audit tab.
Before you start
- Import the documents and wait until their OCR Status is Complete. Documents still being read cannot be selected.
- Put the sample in one block of cells, with a header row.
Run a match
- Click Start new document matching.
- Select the rows to vouch: select the sample in Excel, header row included, and leave First row is a header checked. Check the columns to look for in the documents. Blast Audit detects the kind of each column (Text, Amount or Date); change it if it is wrong.
- Choose the documents: select the documents to search. Every row is searched in every selected document, so select only the ones that belong to the sample.
- Check where the results will go. Each field gets a result column with the value found and a link to its page. If those columns already hold values, Blast Audit tells you how many and asks before replacing them.
- Click Match N rows. Keep Excel open until the run finishes.
- If some rows have more than one possible page, Blast Audit shows them one by one. Pick the right page, choose None of these is the source, or click Decide later. Then click Write the results.
Read the results
| Colour | Meaning |
|---|---|
| Green | Match found. |
| Amber | Uncertain, or the row could not be fully checked. |
| Red | No match found. |
Click a result cell to open the document at the matched value. Rows that matched with low confidence, or that match several places, are listed in the summary so you can check them.
Column options
Click Options on a column in the first step:
| Option | Effect |
|---|---|
| Required | A row matches only if this field is found. |
| On the same page | The field must be on the page where the other fields were found. |
| Tolerate spelling differences | Accepts abbreviations, legal forms and OCR typos. On by default. |
| Accept part of the value | Accepts "Jenny" for "Jenny Lam". |
| Absolute tolerance | For amounts. 0 (the default) requires the exact amount. |
| Currency | For amounts, an optional three-letter ISO code. |
| Decimal format and date order | Tell Blast Audit how Excel and the documents write numbers and dates. |
Invoice, purchase order and delivery note
Choose Invoice + purchase order + delivery note to match each row to its three supporting pieces, each proved by the field that concerns it. Pick at least one column and one result column for each piece. This kind of match cannot be saved as a template.
Templates
At the last step, click Save as template to keep the column mapping, header row and matching rules. Check Share with my organization to make it available to your colleagues. Templates do not store data, formatting or documents. Find them under My Templates and Company.
Limits
One run reads up to 512 documents, 2,048 pages and 32 MB of OCR text. Above that, select fewer documents and run several matches.
Fewer matches than expected
See Fix document matching that finds fewer matches than expected.
